Summary:
The Recruiting Operations Specialist will support the day-to-day onboarding, operational, administrative, and workforce support functions across all ETS locations. This critical role will serve as a key support partner to recruiting, HR, finance, and operations teams. The ideal candidate is highly organized, tech savvy, detail oriented, and thrives in a fast-paced staffing environment. This role will own onboarding coordination, assist with operational tracking and reporting, support workforce communication, and help streamline internal processes through technology and automation.
Responsibilities as a Recruiting Operations Specialist:
- Coordinate and manage all onboarding activities for new hires across multiple ETS locations.
- Ensure completion and compliance of onboarding requirements including I-9s, E-Verify, background checks, drug screens, and employment documentation.
- Support payroll functions through timeclock management, data entry, new hire management, and mailing checks, invoices, and other business documents as needed.
- Maintain and optimize internal tracking systems by routinely gathering operations data, managing Google Sheets with formulas and lookups, and utilizing scripts to enhance workflow efficiency.
- Partner with team leadership to leverage AI tools and API integrations to build, maintain, and troubleshoot operational reports and notifications; write and refine custom scripts to automate data workflows and connect internal systems.
- Assist with gathering financial reports, preparing follow-up lists for outstanding balances, and executing routine collections outreach.
- Provide first-response support for main office phone lines, in-person employees, and general inquiries.
- Cross train on payroll and other back-office operational functions to provide team support as needed.
- Support special projects, operational initiatives, and additional administrative duties as assigned, and offer ideas for continuous process improvement.
Qualifications and Key Competencies for the Recruiting Operations Specialist Role:
- Bachelor’s degree in a business, technical, or analytical discipline.
- Highly tech-savvy with a natural comfort learning new software, platforms and tools. While professional coding experience isn’t required and we will train you on our specific tech stack, you should understand how to interpret data, and have the aptitude to learn basic coding and scripting to automate workflows.
- Previous experience with spreadsheets, reporting, and data entry.
- Exceptional organizational skills with a sharp eye for detail, crucial for tracking multi-step compliance processes.
- Excellent interpersonal skills with the ability to act as the welcoming, helpful front-line contact for new hires and employees.
- Previous experience in a customer service, customer support, or administrative support role preferred.
