About The Role
The EHR Operations & Training Specialist plays a critical role in ensuring the integrity, functionality, and effective use of the Electronic Health Record. This position bridges program operations, billing/finance, and information systems by coordinating service episodes, placement data, and workflows while leading staff training and onboarding. The role ensures that the EHR accurately reflects service delivery, funding structures, and regulatory requirements, and supports staff in using the system effectively.
Responsibilities
Training and Staff Support
- Partners with other Information Systems team members to develop onboarding toolkits and resources for staff.
- Lead regular in-person EHR onboarding training for new hires.
- Design and facilitate ongoing technical assistance (TA) sessions for DS and BH staff to improve proficiency in EHR documentation, reporting tools, and system functionality.
- Serve as a key resource to staff for EHR-related questions, workflow guidance, and best practices.
EHR Operations and Data Coordination
- Support data management and coordination in the EHR and associated software platforms to ensure successful analytics, reporting and data integrity.
- Act as liaison between IS department and program managers and supervisors, admin coordinators and staff to ensure EHR quality improvement, maintenance and upgrades are consistently responsive and relevant to needs of staff and agency as a whole.
- Establish, document and continuously improve staff workflows to ensure alignment between operational workflows and EHR functionality.
Systems Support and Collaboration
- Act as backup support to the EHR Coordinator for system troubleshooting, updates, and issue resolution.
- Collaborate with Quality and Finance teams, and program leadership to ensure EHR configuration supports organizational needs.
- Support continuous improvement efforts by identifying system gaps, workflow inefficiencies, and opportunities for optimization.

Qualifications and Competencies:
- Associate’s degree in Health Information Management, Health Administration, Human Services, Business Administration, or related field (Relevant experience may be substituted for degree)
- Minimum of 2 years of experience in one or more of the following:
- Electronic Health Record (EHR) systems
- Healthcare or human services operations (DS, BH, or similar)
- Program coordination or data management
- Staff training or onboarding
- Demonstrated experience:
- Working with complex data systems and maintaining data accuracy
- Coordinating across multiple departments (e.g., program, finance, compliance)
- Providing staff support, training, or technical assistance
- Strong proficiency in:
- Microsoft Office (especially Excel)
- Data tracking, reporting, and analysis
- Strong understanding of EHR systems, data integrity, and reporting
- Ability to translate operational workflows into system processes
- Training facilitation and staff development skills
- Cross-functional collaboration (programs, finance, compliance)
- Analytical thinking and problem-solving
- High attention to detail and regulatory compliance awareness
- Must have a valid driver’s license, and reliable transportation with personal automobile liability insurance coverage at or above the levels mandated by the State of Vermont.
