Our South Burlington, Vermont office is seeking a professional and highly organized Office Coordinator to support the daily operational functions of the office and coordinate the firm’s special events. The ideal candidate will demonstrate strong interpersonal skills, initiative, and the ability to adapt quickly in a fast-paced environment. This role requires excellent time management, the capacity to manage multiple priorities, and the ability to work both independently and proactively in support of others.
General Office Support
- Greet visitors warmly and ensure they feel welcomed and attended to
- Answer and direct incoming calls in a professional and courteous manner
- Manage mail and package distribution
- Monitor and triage the GFC email inbox in a timely fashion
- Maintain office spaces including kitchen, common areas, and conference rooms
- Order office and kitchen supplies as needed
- Coordinate lunch orders for firm meetings or events
- Process expense reports for firm leadership
- Provide general administrative support as requested
- Act as the main liaison for office facilities, including vendor scheduling and maintenance requests
- Assist with intake processing of client tax documents during tax season (scanning and basic software)
- Manage leadership and event calendars
Event Planning and Coordination
- Work with internal teams to develop event budgets, timelines, and goals
- Research and secure venues for internal and external events
- Support planning of events related to sponsorships or client engagement
- Coordinate event logistics including technology, catering, accommodations, and transportation
- Organize regular staff meals and well-being activities during busy seasons
- Coordinate travel arrangements for firm events, including visits from our India office team
Qualifications
- 1–2 years of experience in an administrative or customer service role
- Strong verbal and written communication skills
- Highly organized, dependable, and professional demeanor
- Strong attention to detail and accuracy in all tasks
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams, and PowerPoint)
- Ability to work independently, take initiative, and solve problems effectively
- Comfortable working in a fast-paced environment, especially during peak periods
- Self-starter, ability to identify a need and problem solve
- Comfortable working in a fast-paced setting during peak business
