ResponsibilitiesReporting to the Managing Director and Site Lead, you will be responsible for coordinating the daily operations of our office, administrative duties as needed ensuring efficiency and supporting the Ai team

Essential Duties:
- High level of support to Managing Director & Site Lead with administrative duties, including preparing reports where needed
- Coordinate office operations, protocols and procedures
- Responsible for company-wide communications
- Maintain & organize files, records and documents for the site
- Coordinate schedules & appointments to support
- Order office supplies, coordinate contractors/facilities maintenance including building security responsibility
- Responsible for ordering food, picking up food and coordination with meetings. This includes ordering and ensuring employee snacks continue to be stocked at all times.
- Participate in Health & Safety committee meetings, responsible for meeting minutes & distribution/posting of minutes
- Assist in budgeting & other financial tasks
- Any other duties assigned by the Managing Director & Site Lead
Required Skills:
- Strong organization skills with the ability to prioritize tasks effectively
- Excellent communication skills
- Strong attention to details
- Proven track record in team management & development
- Experience in budgeting, vendor management, and schedule coordination.
- Proficiency in Paylocity and other office management software
- Proficiency in MS Word, Excel & PowerPoint
- Ability to handle confidential information with discretion and professionalism.
