SUMMARY
Role Description The Maintenance Manager is a full-time role based in Brattleboro, VT. The Maintenance manager will ensure that the buildings and grounds for those buildings in the Property Management portfolio are properly maintained and kept in excellent condition and that their tenants’ needs are met on a timely basis. Oversight of outside contractors may be required for more significant renovations. Exemplary customer service, courteousness, and discretion are keys to this role.
M&S Development’s Property Management building portfolio currently includes the Brooks House, Cutler Block, Putnam Block, and Dewitt Block. Additionally, M&S aims to grow its portfolio of 3rd party property management contracts. The Maintenance Manager will be key to this portfolio growth and the job and responsibilities may evolve and/or expand with this growth. Clear communication and coordination with other maintenance employees will be key to success in this role.
ESSENTIAL FUNCTIONS
The Maintenance Manager shall:
· Ensure safe work practices are followed by all team members and immediately report any concerns or violations to company management.
· Be responsible for the routine maintenance of all building spaces (indoor and outdoor), including landscaping, grounds upkeep, cleaning, repairs, and garbage removal.
· Be responsible for the preventative maintenance of each building, including establishment and review of contracts with third party vendors for HVAC systems, elevators, fire alarms, inspections, pest control, etc. The Maintenance Manager will have contract signing authority up to $2,500 or as specified in relevant building management agreements. Annual amounts greater than $2,500 or equivalent per building threshold will require approval from the Director of Asset Management or the owner.
· Develop and maintain a schedule for routine inspections of property, building, and systems across all clients and properties and support the establishment and maintenance of these schedules in Appfolio.
· In coordination with other property and asset management team members, develop annual operating budgets for each property for submission to and approval by the relevant owner.
· Work with Property and Asset Management team to provide insights on items that will impact annual budgets for each building/client for the following business operation-related line items: repairs and maintenance (including HVAC systems), utilities (electric, fuel, phone/cable, etc), building supplies, trash removal, inspections, security and emergency systems, landscaping, plowing and snow removal, and cleaning.
· Be responsible for timely reporting of necessary or pending repairs in keeping with company policies and procedures.
· Source and oversee subcontractors to ensure repairs are made in accordance with building codes and both internal and professional standard of care in coordination with Property & Asset Management team lead.
· Work with Property & Asset Management Team Lead to develop capital needs plan and schedule these efforts in conjunction with annual budgeted expenses.
· Work with Property and Asset Management Team members to manage tenant maintenance requests via online platform. The Maintenance Manager shall ensure responses are sent to tenants and work orders are completed and updated in the maintenance module in Appfolio in a timely manner.
· Document and communicate lease violations to the appropriate Property or Asset Management team member for further action.
· Work with Leasing Manager or similar to coordinate unit turn-overs including cleaning and minor repair/update of units, as needed.
· Order and stock cleaning and bathroom supplies where necessary per management contract scope.
· Ensure proper operation and maintenance of janitorial equipment
· Conduct other building maintenance tasks as required. May include light carpentry, minor electrical and plumbing, painting, general repairs.
· Manage the on-call plan/schedule to ensure any emergency calls are answered outside of normal working hours. This on-call plan shall allocate responsibilities for on-call work across all members of the Maintenance team.
· The Maintenance Manager will support the Maintenance team and provide status updates weekly during Property and Asset Management meetings.

· Reports to the Property & Asset Management team lead
· Works directly with the Maintenance team members and Asset Management team members.
· Works with Leasing Manager on coordinating move ins / outs, tenant concerns.
· Works directly with outside vendors doing business with the company and the public
· Email, text, and app-based responsiveness to needs of tenants and senior management
