Job description:
A Contract Quoting Administrator would be responsible for the entire bid/quoting process from reviewing potential opportunities, submitting proposals, and managing procurements and coordinating installations on projects awarded. The successful candidate would ensure that all necessary information is gathered, proposals are compliant with client requirements, and the quotes/bids are delivered on time. Collaborating with cross-functional teams is key to developing winning strategies and optimize the company's chances of securing new business. The candidate would also be responsible for maintaining government contracts and negotiating contracts with general contractors on government projects.
Specific responsibilities would include:
- Reviewing project specifications, technical drawings, and customer needs to accurately assess project scope and cost implications.
- Creating detailed proposals outlining project scope, pricing, payment terms, delivery timelines, and any applicable contract clauses.
- Working closely with sales representatives, engineers, outside suppliers, and other internal departments to gather information and finalize quotes.
- Understanding of the products or services being quoted, including technical specifications and applications.
- Ensure accuracy of quotations including pricing, specifications, and contract language.
- Familiarity with software tools used to manage customer information and generate quotes.
- Prepare internal order package for awarded projects.
- Procure ancillary items required on awarded projects.
- Manage project procurements and coordinate installations
- Negotiate contracts with general contractors on government projects.
- Other duties as assigned
Qualifications:
- Experience in sales support or customer service
- Excellent organizational and time-management skills
- Excellent writing and communication skills
- Strong analytical and problem-solving abilities
- Project management skills to manage timelines and deliverables
- Ability to work effectively under pressure and meet deadlines
- Detail-oriented with a high level of accuracy
- Proficient in Microsoft Office software, to include outlook, Word and Excel
Ability to communicate in a professional manner with team members at all levels of the organization
