Admissions Planner
Position Summary:
The Admissions Planner is responsible for generating broad interest in Wake Robin and long-term cultivation of relationships with prospective residents. They triage, lead, and support prospective residents in navigating the residency application process. They are responsible for telling the Wake Robin story and communicating its unique mission, impact and significance to the broader public.
Key Responsibilities (may include other duties as assigned):
Marketing
- Partners with the Director of Marketing to develop and execute a coordinated marketing and sales strategy that supports organizational goals.
- Serves as an expert resource to prospective residents and families, providing information about the community, Life Care health insurance product and application process.
- Cultivates relationships with prospective residents, assesses individual timelines and interests and maintains engagement through planned events, tours and personalized outreach.
- Drives personalized lead cultivation by managing prospect call lists and coordinating follow-up outreach.
- Manages the waitlist process, maintaining ongoing communication with prospective residents and matching them with requested home styles as they become available.
- Determines and executes appropriate contract and entry requirements; prepares, tracks, and distributes contracts and coordinates deposits.
Public Relations
- Partners with the Director of Marketing to develop and execute public relations efforts that support broader organizational goals.
- Plans and hosts events for external audiences, partnering with the Marketing team and other departments to coordinate communications, logistics and follow-up.
- Evaluates event effectiveness through systematic data collection: attendance, lead generation and new prospect contacts.
- Builds and maintains reciprocal relationships with community organizations and other strategic partners to advance Wake Robin initiatives and stay informed about industry trends and issues.
- Contributes to content planning and writing for the Wake Robin newsletter, social media and traditional media.
Resident Stewardship
- Engages residents as ambassadors for PR events, tours, luncheons, and other community activities, drawing on their experience and knowledge of Wake Robin. Maintains the resident contact list and ensures residents feel fully prepared to serve in an ambassador capacity.
- Draws on resident experiences, interests, and connections to identify potential marketing opportunities and prospective leads.
- Serves as a trusted point of contact for residents, fostering positive relationships through responsive, respectful, and personalized service. Provides clear, accurate, and timely information and ensures resident questions and concerns are appropriately addressed.
Administration
- Performs a variety of administrative functions to support primary responsibilities, including document management, with increasing use of digital assets
- Maintains accurate, current and accessible lead and department information, ensuring data is consistently updated and available to the team.
- Proactively shares information gathered through prospect cultivation and the transition process with the Marketing team and other stakeholders to support a seamless experience for prospective and new residents.
Qualifications:
- Bachelor’s degree in Marketing or a related field, with a minimum of two years of relevant professional experience.
- Experience in a Life Plan Community, senior living, admissions, development or a related field preferred.
- Exceptional interpersonal and communication skills, including the ability to explain complex or sensitive information clearly, calmly and professionally to prospective and current residents, colleagues and other stakeholders.
- Strong writing skills, with the ability to develop clear, engaging and audience-appropriate communications.
- Excellent organizational skills, with the ability to plan and execute both short- and long-term projects with strong attention to detail.
- Demonstrated sound judgment, critical decision-making and negotiation skills.
- Collaborative, team-centered approach with the ability to build strong relationships across the organization.
Schedule:
- Primarily Monday - Friday, 8:30 am - 5:00 pm, with occasional evening and weekend commitments required for events. Some off-campus travel may also be required.
Salary:
(Starting salary is determined based on candidate's experience, education, and relevant skills as well as internal equity considerations.)
