The Hermitage Club at Haystack Mountain
Wilmington, Vermont
Full-Time | Year-Round
The Hermitage Club at Haystack Mountain, a premier private, member-owned ski resort in Vermont’s Green Mountains, is seeking an energetic, polished, and highly creative
Activities & Events Manager to help bring the Club experience to life.
This is a unique opportunity for a hospitality professional who can blend the spirit of a great
cruise director, the enthusiasm of a seasoned
camp counselor, and the polish expected in a private club environment. The ideal candidate is warm, organized, imaginative, and comfortable creating memorable experiences for members and guests both
on and off the slopes.
About The Role
The Activities & Events Manager will help plan, promote, coordinate, and execute a vibrant calendar of Club events, social activities, family programming, outdoor experiences, and seasonal member gatherings. This role works closely with Operations, Member Services, Food & Beverage, Communications, Facilities, Mountain Operations, and other Club teams to ensure activities are well planned, well communicated, and delivered with warmth, energy, and attention to detail.
This position is ideal for someone who loves creating experiences, engaging people of all ages, and turning simple moments into lasting memories.
Key Responsibilities
- Help create and manage a year-round calendar of member events, activities, family programs, and seasonal experiences.
- Bring fresh, creative ideas to Club programming, including winter activities, après-ski experiences, family events, children’s activities, outdoor adventures, social gatherings, and off-season programming.
- Coordinate event logistics, including timelines, setup, staffing needs, reservations, communications, signage, supplies, and follow-up.
- Serve as a visible and welcoming host during Club events and activities, helping members and guests feel included, informed, and engaged.
- Support Member Services and Member Sales during peak operating periods as needed.
- Work closely with Food & Beverage, Member Services, Communications, Facilities, and Operations to ensure events are polished and seamless.
- Support on-mountain and outdoor programming, including ski-season activities and creative ways to engage members throughout the winter.
- Assist with member inquiries, event registrations, participation tracking, and post-event follow-up.
- Work in partnership with our Communications Manager to promote events through newsletters, digital communications, flyers, calendars, and other member-facing materials.
- Maintain organized planning documents, event notes, calendars, participation records, and expense-related information.
The Ideal Candidate
The successful candidate will be outgoing, professional, creative, and highly organized. They will enjoy being in front of members, engaging families, leading activities, solving problems, and helping create a sense of fun, connection, and community.
This person should be just as comfortable greeting members at an elegant Club event as they are organizing a family activity, supporting an après-ski gathering, helping with an outdoor winter program, or jumping in wherever needed to make an experience successful.
Qualifications
- Experience in event coordination, hospitality, recreation, private clubs, resorts, camps, ski areas, member services, or guest experience preferred.
- Creative, energetic, and confident in developing activities for members, families, children, and guests.
- Strong organizational skills with the ability to manage multiple events, details, and deadlines.
- Excellent verbal and written communication skills.
- Friendly, polished, and service-oriented presence.
- Ability to collaborate across departments and build positive working relationships.
- Comfortable working in both indoor and outdoor environments.
- Skiing or snowboarding experience required.
- Proficiency with Microsoft Office; experience with event, reservation, or club management systems is a plus.
- Ability to work evenings, weekends, holidays, and peak seasonal periods as needed.
- Ability to stand, walk, assist with setup, and lift up to 25 pounds.
