Overview
We are seeking an organized, detail-oriented, and technology-focused Property Manager to oversee the day-to-day operations of assigned residential, commercial, and condominium properties.
The Property Manager will work closely with the operations team and company leadership to ensure properties are maintained to a high standard, tenant and client needs are addressed promptly, and property management systems and processes are consistently followed.
This role will also provide backup support for portfolio management responsibilities, including vendor coordination, tenant communications, maintenance requests, documentation, and administrative operations.
The ideal candidate will have strong property management and customer service skills, be comfortable working with technology, and have an interest in improving operational efficiency through better systems and processes.
Education/Experience
- Experience in property management, real estate, accounting, or operations is preferred.
- Experience managing residential, commercial, or condominium properties is a plus.
- Experience coordinating vendors, contractors, maintenance requests, and property-related projects.
- Experience with tenant communications, lease administration, renewals, and notices is preferred.
- Experience with property management software, particularly Buildium, is a plus.
- Proficiency with Microsoft Office and Google Workspace.
- Willingness to learn and become highly proficient in Buildium.

Responsibilities
Property Operations
- Manage the day-to-day operations of assigned residential, commercial, and condominium properties.
- Monitor property performance and ensure tenant and property needs are addressed promptly.
- Assist senior management with the overall management and performance of the company's portfolio.
- Provide operational support during staff vacations, absences, and periods of increased workload.
- Participate in the company's on-call rotation and provide after-hours coverage for emergency maintenance and tenant issues as scheduled.
Tenant & Client Relations
- Serve as a primary point of contact for tenants, clients, condominium associations, vendors, and contractors.
- Respond to tenant and client requests and ensure timely resolution of property-related issues.
- Assist with tenant onboarding, lease administration, renewals, notices, and customer service communications.
- Maintain professional and responsive communication with all stakeholders.
Maintenance & Vendor Management
- Process and track maintenance requests and property-related projects.
- Coordinate with vendors and contractors to schedule work and obtain project updates.
- Verify completion of maintenance and repair work.
- Maintain accurate records of vendor activities and property maintenance.
- Assist with property inspections and preventative maintenance tracking.
- Support compliance documentation and property-related requirements.
Property Management Systems & Documentation
- Support the implementation and continued adoption of Buildium as the company's primary property management platform.
- Improve workflows, data accuracy, reporting, and staff utilization within Buildium.
- Organize, maintain, and digitize company records, including leases, vendor contracts, inspections, maintenance records, tenant communications, and property documentation.
- Maintain efficient digital filing systems and procedures to improve accessibility, organization, and compliance.
Financial & Administrative Support
- Support accounts payable and financial tracking processes.
- Assist with invoice review and coding.
- Ensure property-related expenses are properly documented.
- Prepare reports, summaries, and operational updates for internal review and client communication.
- Maintain accurate administrative and property records.
Capital Projects & Process Improvement
- Assist with capital improvement projects.
- Gather vendor proposals and coordinate project schedules.
- Track project progress and maintain project documentation.
- Help develop and refine company procedures, checklists, and workflows.
- Identify opportunities to improve operational efficiency, consistency, and service quality.
Technology
- Use Buildium to support property management operations, workflows, reporting, and recordkeeping.
- Utilize Microsoft Office and Google Workspace for daily administrative and operational activities.
- Support the company's ongoing adoption and optimization of property management technology.
- Maintain accurate digital records and documentation.
Ideal Candidate
The ideal candidate is a
hands-on Property Manager who is comfortable managing day-to-day property operations while also supporting broader portfolio and administrative responsibilities.
The strongest candidate will have experience with
tenant relations, vendor management, maintenance coordination, lease administration, property documentation, and property management software, along with excellent organizational and communication skills.
Candidates who are
technology-oriented and process-improvement focused, particularly those with
Buildium experience, will be especially well suited for this opportunity.
