RSC Building is seeking an organized, dependable, and technology-comfortable Office Administrator to support our construction operations.
This is an important coordination role—not simply a front-desk position. The Office Administrator helps keep information organized, documents complete, deadlines visible, and communication moving between our leadership team, project managers, employees, clients, subcontractors, and vendors.
The right person takes ownership of their work, follows through without constant direction, and represents RSC with professionalism. Construction experience is helpful, but strong administrative ability, attention to detail, and a willingness to learn are most important.
Responsibilities
- Provide day-to-day administrative support to company leadership and project teams
- Answer and direct incoming calls, emails, and general inquiries
- Maintain accurate project, client, vendor, and subcontractor information in Buildertrend
- Create and organize digital project files within Google Drive and Buildertrend
- Prepare, send, track, and file contracts, subcontractor agreements, and related documents
- Collect and maintain certificates of insurance, W-9s, and other required subcontractor information
- Assist with new-project setup, calendars, meetings, appointments, and internal follow-up
- Organize receipts, bills, purchase records, and supporting documentation before they are routed for bookkeeping
- Help ensure purchases and expenses are connected to the correct project and cost code
- Track open administrative items and follow up with employees, vendors, and subcontractors when information is missing
- Maintain office records, contact lists, forms, and standard company documents
- Assist with employee onboarding and offboarding paperwork and system access
- Order office supplies and help coordinate occasional company purchases or deliveries
- Support leadership with reports, spreadsheets, data entry, and special projects
- Identify missing information or incomplete processes and help bring them to completion
Qualifications
- Previous administrative or office experience
- Strong organizational skills and attention to detail
- Comfortable working with spreadsheets, cloud-based software, and digital filing systems
- Proficiency with Google Workspace, including Gmail, Drive, Docs, Sheets, and Calendar
- Ability to learn Buildertrend and other construction-management systems
- Professional written and verbal communication
- Ability to prioritize multiple responsibilities and consistently follow through
- Comfortable asking questions and holding others accountable for needed information
- Able to handle confidential company, employee, and client information appropriately
- Construction, project coordination, bookkeeping support, or purchasing experience is preferred but not required
